Your meetings stay yours.
Notabium records and transcribes your meetings in the cloud so you can search, summarise, and share them. We don't sell your data, and we never train models on your meetings.
What we collect
Notabium is a cloud service. To do its job, it stores the meetings you record and the data needed to run your account:
- Recordings and transcripts: the audio and video of meetings you record, the transcripts we generate from them, and the AI summaries and chat you create.
- Account data: your email address, authentication details, and plan or billing status.
- Meeting metadata: titles, participants, timestamps, and the consent state recorded for each meeting.
All of this lives in our infrastructure (see Subprocessors below). It is owner-scoped: row-level security in our database means only you and the people you explicitly share a meeting with can access it.
We may also collect basic, privacy-friendly usage analytics (page views and feature counters) to understand how the product is used. We never use transcript or recording content for analytics.
How recording works
There are two ways to capture a meeting, and both record how consent was handled:
- Notabium Notetaker: a server-side bot that joins your Zoom, Google Meet, or Microsoft Teams call. It appears in the participant list, announces in the meeting chat that recording is happening, records the call, and takes notes. It is passive - it never speaks and never acts on your behalf. The recording is stored in your account when the call ends.
- Web and extension recorder: records directly from the web app or the Chrome extension. Before recording, it asks the host to confirm that participants have been informed.
We store the consent state for each meeting so there is a record of how recording was disclosed.
How your data is processed
To turn a recording into something useful, we send data to a small set of providers:
- Transcription: recorded audio is sent to ElevenLabs (Scribe) to produce a transcript, with Groq used as a fallback.
- Summaries and chat: transcript text is sent to Anthropic Claude to generate summaries and answer questions you ask about a meeting.
These providers process your data to deliver the feature you asked for. We do not use your meetings to train our own models.
Subprocessors
- Supabase: primary database (Postgres) and storage for recordings, transcripts, and account data
- Cloudflare: DNS and edge delivery
- ElevenLabs: speech-to-text transcription (Scribe)
- Groq: fallback speech-to-text transcription
- Anthropic: AI summaries and meeting chat
- Stripe: payment processing for paid plans
- Resend: transactional email (sign-in, account, and billing emails)
Google user data and Limited Use
If you connect your Google account, Notabium requests read-only access to your Google Calendar (the calendar.readonly scope) and your basic profile email. We use this access for one purpose: to show your upcoming meetings inside Notabium and let you send the Notabium Notetaker to a call, including optional calendar-based auto-join. We never write to, delete, or change anything in your calendar.
Notabium's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. Specifically, your Google Calendar data is:
- used only to provide the calendar features described above;
- never sold, and never used for advertising;
- never used to train generalized AI or machine-learning models;
- not read by humans, except with your explicit consent, to comply with the law, for security or abuse investigations, or where the data has been aggregated and anonymized.
You can disconnect Google at any time from your settings, which immediately deletes the stored tokens and revokes Notabium's calendar access.
Your rights and controls
Notabium is designed for GDPR alignment. If you want to:
- See your data: everything you've recorded is in your account in the web app at app.notabium.com.
- Delete a meeting: deleting a meeting in the app removes its stored recording along with the transcript and summary. We retain your data until you delete it or close your account.
- Delete your account: email notabium@proton.me to close your account and delete the data we hold for you.
- Request what we hold on you: email notabium@proton.me. We answer within 30 days.
Children
Notabium is not directed at children under 13. We do not knowingly collect personal data from them.
Changes to this policy
We will publish updates on this page and bump the date at the top. Material changes will also be emailed to active accounts.
